This Privacy Notice applies to the personal data that we collect and handle for the purposes of maintaining Finchingfield Guildhall CIO.  For the purposes of this Privacy Notice, personal data means any information relating to an identified or identifiable individual.

We are committed to protecting the privacy of our trustees, members, volunteers and supporters and treat all information you give us with great care.

We promise to respect any personal details you share with us.  We will be clear when we collect your data and will not do anything you would not reasonably expect.

Information you provide to us

We only collect information that you voluntarily provide to us directly either as a trustee, member or volunteer, or if you have supplied information to hire our premises or attend events for which you have made a payment.  It will only be used for the sole purpose for which it was provided.

What personal data we collect

For trustees and members, volunteers and people in the local or broader community who work with us or provide services, we collect your name, address, email address and telephone number.  Optional information that might be held includes activities for which help is offered and individual interests relating to the Guildhall’s activities.

For customers who hire our premises or purchase tickets for events via our website, we will collect your name, email address and financial information associated with receiving a payment.  We do not store credit or debit card details.

How we use your personal data

We will use your data:

  • to provide you with information about Finchingfield Guildhall or other matters which may be of relevant interest, including events. 
  • to administer your payments or donations.
  • to ensure that we know how you may be contacted, giving a choice of how to contact you in case one method fails.
  • to communicate with you as a supporter, volunteer, supplier or provider of services.

This data is held by Finchingfield Guildhall only for the purpose of internal communication and will not be shared externally without your agreed permission unless required by law.

How we keep your data safe and who has access

We ensure that there are appropriate technical controls in place to protect your personal details.  The personal data as defined will be held on paper and on computers and stored digitally in password protected files managed by trustees and officers of the Guildhall, who are registered with the Charity Commission.  Access to the information that we hold is only accessible by appropriate officers or trustees.
